Biometric Data Retention Policy

1. What Biometric Data We Collect

During our AI-powered interview process, we collect the following biometric data with your explicit consent:

  • Voice recordings: Audio recordings of your interview session conducted by our AI interview assistant
  • Voice analysis data: AI-generated analysis of vocal characteristics including tone, pace, and speech patterns, used as part of the interview evaluation
  • Transcripts: Text transcriptions of your spoken responses generated from the voice recordings

2. Purpose

Biometric data is collected solely for the purpose of evaluating candidate suitability for roles through AI-assisted interview analysis. Voice recordings are transcribed and analysed to provide hiring teams with structured evaluations of candidate responses. All AI-generated evaluations are subject to human review before any hiring decision is made.

3. Legal Basis

We process biometric data on the basis of your explicit consent, obtained before any recording begins, in accordance with:

  • GDPR Article 9(2)(a): Explicit consent for processing special categories of personal data
  • Illinois Biometric Information Privacy Act (BIPA): Written informed consent with disclosure of purpose, retention period, and destruction schedule

You may withdraw your consent at any time. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

4. Retention Period

Voice recordings, transcripts, and voice analysis data are automatically deleted 90 days after the interview date. No biometric data is retained beyond this period.

5. Destruction Method

When the 90-day retention period expires, the following destruction process is executed automatically:

  • Recording URLs are invalidated, rendering the audio files inaccessible and unrecoverable
  • Transcript text is permanently cleared from the database
  • Voice evaluation data (tone, pace, speech pattern analysis) is permanently cleared from the database

Deletion is performed by an automated system running daily at 04:15 UTC. No manual intervention is required, and no copies of destroyed data are retained in any form.

6. Your Rights

You may request immediate deletion of your biometric data at any time, without waiting for the 90-day retention period to expire. To exercise this right:

  • Email us at privacy@yojivo.com with the subject line "Biometric Data Deletion Request"
  • Submit a request through our Data Subject Access Request (DSAR) process

Deletion requests are typically processed within 30 days. You will receive confirmation once your biometric data has been destroyed.
